Introduction
The Terms and Conditions (TC) are applicable to a contract closed between the Organiser (4You Modevertrieb GmbH) of the Sourcing Club Day (hereafter ‘the event’) and the natural or legal person presenting its products at the event.
Participation
The event present manufacturers of apparel products, not brands or labels of apparel. Booth location and design rests solely with the Organiser. The exhibitor will receive the location within the venue at least 7 calendar days prior to the event.
The application can be submitted by completing and submitting the application form (available on www.sourcingclub.net as a download) to info@sourcingclub.net or by registering online and by sending a separate email to info@sourcingclub.net stating its intention to participate in the forthcoming edition of the APPAREL SOURCING CLUB-DAY. The Application will be validated by the Organiser who would admit the applicant to participate in the event. The notification of the admission will need to be confirmed by the exhibitor in writing by email, subsequently entering into a contractual relationship with the Organiser. There is no automatic entitlement of participation upon submission of the Application.
The exhibitor is responsible for providing the Organiser (online portal) with all the necessary information to complete the online exhibitors profile and will be available for a telephone conversation to discuss and align other profile related issues.
The exhibitor is not permitted to sub-let the presentation space to another company without the written approval of the Organiser.
The physical presentation space will consist of:
- 1 standard table capable of hosting four chairs
- 4 chairs
- 1 clothes hanging rail with a hanging capacity of at least 100cm
- 10 hangers made of wood or plastic
- 1 table sign with the logo and the name of the exhibitor
The exhibitor will follow the guidelines of the Organiser concerning the presentation of products. No extra marketing or advertising material such as posters or other visual and audio carriers are permitted.
Exhibitors will need to be fully available with a readily fitted presentation station as of 09h30 on the day of the event. The exhibition venue will be accessible as of 07h30 on the day of the event for the exhibitors to equip their presentation station. There will be a separate room available to store empty suitcases for the day. Exhibitors will need to remove all presentation items after the event any by no later than 18h30 on the day of the event. Any items left will be removed and destroyed at the expense of the exhibitors.
The exhibitor agrees that the Organiser receives, processed and publishes the information received from the exhibitor at its own discretion, for the purpose of hosting the event and for the purpose of making available the company profile to e.g. interested clients, media, other stakeholders. The exhibitor can revoke this concession anytime after the event in writing (by email to info@sourcingclub.net).
Exhibitors are liable for missing or damaged items at the amount of representing the replacement price. The Organiser will invoice the exhibitor for the replacement costs.
Payment Terms
The exhibitor will pay the fee in full in the EURO currency to the account of the organiser by no later than 70 calendar days prior to the event. Banking charges are fully paid by the exhibitor:

Exhibitors from non-EU countries are required to provide the Organiser with a currently excerpt of the company incorporation document from e.g. the local administration or Chamber (not older than one year), enabling the Organiser to issue an invoice without German VAT. If such as document is not produced, a VAT rate of 19% will be charged to the invoice. Exhibitors located in the EU need to provide the Organiser with a valid VAT number to receive an invoice without VAT.
Cancellation Policies
The following refund policy applies, subject to the Organiser receiving and confirming the cancellation in writing by email (info@infoaid.com):
- 50% refund if cancelled and confirmed 60 calendar days prior to the event
- 25% refund if cancelled and confirmed 40 calendar days prior to the event
- 0% refund if cancelled after the 40 th calendar day prior to the event.
The Organiser will try to re-sell the space and shall notify the exhibitor if done so successfully. In this case, 85% of the fee will be reimbursed, keeping a 15% administration fee for the Organiser.
A now-show of the exhibitors qualifies for the full payment of the fees, no reimbursement applies.
The Organiser reserves the right to cancel the trade-fair event up to 20 calendar days prior to the planned date without stating reasons. In this case, the participation fees already paid will be reimbursed in full.
If the event is cancelled due to Force Majeure (e.g. pandemic), a full refund of the fees already paid applies.
Other provisions
By signing the registration form, the exhibitor accepts these terms and conditions of as well as all further regulations concerning the contractual relationship, as binding.
